2. What information do we collect?

When you register your interest, we may collect:

  • whether you are enquiring as an individual player or on behalf of one or more teams;
  • your name, email address and telephone number;
  • the outward part of your postcode, such as NE11, SS1 or CM14;
  • team names and approximate numbers of interested players;
  • any additional information you choose to provide;
  • the poster, QR code or campaign link used to reach the form;
  • technical and security information such as submission time, IP address, browser and device information.

The Join form does not ask for your full home address. Please do not include unnecessary sensitive personal information in the additional-information box.

3. How do we use your information?

We use the information to:

  • record and review your interest in joining Ultimate Pool League UK;
  • identify the most appropriate UPL area, league organiser or operator;
  • contact you, or enable an appropriate UPL contact to contact you, about relevant league opportunities;
  • manage, update and follow up your enquiry;
  • understand demand from players and teams in different areas;
  • protect the form and our systems from spam, misuse and security threats;
  • meet legal, regulatory and record-keeping obligations.

Your information will not be sold or used for unrelated marketing.

4. Our lawful basis

We process your information with your consent where you ask us to store and pass on your enquiry. We may also process limited information where necessary for our legitimate interests in responding to enquiries, operating the service, measuring regional demand and protecting our systems, provided those interests do not override your rights.

You may withdraw your consent at any time by contacting us. Withdrawal does not affect processing that took place before consent was withdrawn.

5. Who may receive your information?

Your enquiry may be shared with the UPL leagues team and the appropriate UPL league organiser, operator or authorised contact for your area so they can respond. We may also use trusted providers for website hosting, database storage, email delivery, security and administration.

We only share information that is reasonably needed to handle the enquiry. We do not publish the information submitted through the form.

6. How long do we keep it?

We keep enquiry information only for as long as reasonably necessary to manage the enquiry, record its outcome, understand genuine regional demand, resolve issues and meet legal or operational requirements. Information that is no longer required will be deleted or anonymised in line with our retention arrangements.

7. International processing

If you later use the main Ultimate Pool website, application, payment service or another external platform, the privacy information for that service will apply to the information collected there.
